Ad Hoc Promotion and Tenure Committees
This page provides guidance on the formation and duties of ad hoc promotion committees for candidates eligible for promotion from assistant to associate professor and from associate to full professor.
In our department’s promotion and tenure process, the Chair is responsible for three critical activities that may be outside the individual’s disciplinary focus: (1) solicitation of external and internal reviewers, (2) preparation of the Chair’s letter on behalf of the Department, and (3) critical review of candidate statements. In order to adequately support the Chair in these activities and to best support candidates for promotion, the Chair may appoint an ad hoc promotion committee for candidates for promotion to associate and to full professor. The ad hoc promotion committee is advisory to the Chair and may assist in the preparation of the promotion package in four ways:
- Provide recommendations for suitable, arm’s-length reviewers for the candidate’s materials.*
- Provide short biographical sketches of the external reviewers for inclusion in the tenure package.
- Provide critical reviews of the candidate’s required statements.
- Provide input and review of the Chair’s letter.
Committee membership: typically two; must be tenured and have disciplinary overlap with the candidate.
Workload: relatively light; two main pulses (i.e., before external review letters go out and during period before submission of package to divisional committee); few meetings
Duration: as needed typically six-nine month
Appointment: Appointed by Chair
*As is our norm, the chair of the candidate’s mentor committee may provide a list of possible reviewers to the chair noted individuals they believe to be appropriate or inappropriate. If such a list is provided, the chair and ad hoc committee will consider these, but develop the final list of arm’s-length reviewers. The final list is not required to include or exclude any one listed on the mentor committee’s list.
